Summary
In order to provide these Services, we need to hold personal information provided by you or your organisation. This privacy policy sets out the way we handle this data, and is based on the following principles:
We will use the data you provide only for the purpose explained at the point of registration, in this privacy agreement, or otherwise at the time of collection from you.
Unless specifically agreed with you, The Career Innovation Company will not share the data you enter with your employer, including your manager or HR department.
We will give you maximum control over your information. In many places we will give you the choice to print, share it with others via email, or to delete it from our Sites.
Some of the most important terms are introduced here first and described in detail below.
- We will ask you to provide account details including your email address, a password and other information that identifies you, to enable you to log in to our Sites and maintain the security of your access.
- If you have been provided these Services by your employer or other organisation, they may make it easier for you to log in and use the Services by providing us with your account details and other demographics.
- When using the tools on our sites, you may be asked to enter demographic information, self-reflection, self-ratings, or contributions to other Users. The way this information is used will be explained to you at the point of collection; contributing this information is entirely voluntary.

- If you wish, you can delete your account using the instructions in the Help section (on your dashboard).

Full policy
The Career Innovation Company's Career Innovation Portal (the "Sites") are designed to provide you with a way to manage and enhance your professional and career development online. We do this by offering you a range of courses, career tools, resources and functionality within our Services (the "Services"). In order to provide these Services, we need to process personal information provided by you or - if applicable - by the Licensee Organisation (this 'legitimate interest' is our lawful basis for doing so). The Sites are designed to give you a high degree of control over the way your information is stored and shared.
This Privacy Policy should be read in conjunction with the Conditions of Use for our Services ("Conditions"). Use of the Sites implies your acceptance of these Conditions, including this Privacy Policy. We may modify these terms to, for example, reflect changes to the law or changes to our Services. We will post notice of modifications to these terms on this page.
1. Information you give us
The Services enable you to use self-reflective career tools and to create, save, manage and share professional profiles and portfolios. These may sometimes have ratings or comments from other individuals or organisations. Information we may therefore ask you to provide includes:
Account details
In order to become an Authorised User, you need to create an account by providing your email address, a password and other information that identifies you and enables you to log in to the Site.
If you have been provided these Services by your employer, professional body or other organisation, they may make it easier for you to log in and use these services by providing us with this information including the same account details you use for their other services. We will only use these details for the purpose of giving you access to the Sites and to provide the Services.
Demographic information
We may ask you for information about your location, age, work situation and other demographic data. Most of this information is clearly marked as optional, at the point when we ask for it. Its purpose is to help us understand users' needs, improve the service over time, and personalise the user experience so it is more relevant to your location or work situation.
Self-reflection and self-ratings
Once you are an Authorised User, you may be offered career tools that ask you to enter information such as self-ratings and personal reflections. You may also be able to invite other people to contribute their opinions about you or offer their advice.
Opinions or advice for others
Others may also invite you to contribute your opinions about them or offer your advice. Contributing is entirely voluntary - you can decline invitations to contribute. The way this information is used will be explained at the point it is collected from you.
2. How this information will be used
The tools and resources on the Sites are primarily for personal reflection, learning and career development. You need to be confident about the way this information is managed, so here is our policy:
Your ability to save and delete data
After completing a tool, your inputs and results will be automatically saved for you on the Sites. In most cases you will be given the option to delete your data. If you wish to do this, before doing so you will have an option to save your results onto your own computer. Once you have deleted your data from the Sites, we will not be able to recover it for you.
Data you provide to other Users
If you choose to provide comments, ratings or opinions for other Users, you will not be able to delete that information afterwards. Further details about this will be provided when you are asked to contribute - for example, your information may be combined with others in order to make it anonymous.
Who else can see your data?
Our technical team has access to all user data and on occasions we may need to view your data, for example in order to diagnose and resolve technical issues. They know that your information is private and personal to you, and they will not view it or use it any more than is strictly necessary.
Personalising our Services to you
We may use personal information automatically to provide you with content that is relevant to your situation. If your version of the Sites also allows any form of advertising, including paid-for job advertisements, this will always be clearly distinguished from impartial careers content.
Data we provide to employers and other Site sponsors
Anonymous forms of data will be shared with the organisations that have paid for this service, to help them evaluate the way the Sites are being used and improve the service provided. No personally identifiable data is passed to them except the extent to which you have used the resources (e.g., number and type of resource you've viewed, and when you last logged in). We do not give them any other data unless we explicitly ask and receive your permission to do so.
Data we use for research and development
We may use data from the Sites for research purposes, both to audit and improve the quality of services we provide and to publish research reports about work and careers. Before we conduct our analysis, we will remove names from the data, and anything we publish will be completely anonymous.
Your ability to share and publish your data
We may offer users the option to share their results with others, export it to other websites, or to publish selected information to the public Internet. Remember that when you share information publicly, search engines may index it and make it easier to find.
Emails we send you
In order to provide the Services to you, we will communicate with you via email. You can make choices about non-essential emails using the instructions in the Help section (on your dashboard).
Deleting your account
You may terminate your account at any time using the instructions in the Help Section (on your dashboard). Once an account has been deleted, whether by you or by us, all your data will be deleted except contributions you have made to other Users (where applicable), which may be retained in order to sustain the integrity of the contributions you have provided to other active site users. Once your data has been deleted, it will not be possible to restore it.
3. Information we obtain from your use of our Services, including cookies
Information we get from your use of our services may include:
Server logs and device information
When you use our Services, we may automatically collect and store certain information in server logs. This may include your web request, Internet Protocol (IP) address, browser type, browser language, the date and time of your request and one or more cookies that may uniquely identify your browser. We may also collect device-specific information (such as your operating system version, hardware model and device identifiers).
Local storage
We may collect and store information (including personal information) locally on your device using mechanisms such as browser web storage (including HTML 5) and application data caches. We may store information about you using cookies (files which are sent by us to your computer) or other anonymous identifiers which we can access when you visit our sites in future. We do this to improve your user experience and the overall quality of our services.
4. Third parties
When we use third parties to assist us in processing your personal information, we require that they comply with our Privacy Policy and any other appropriate confidentiality and security measures. We may also share information with third parties in other limited circumstances, including when complying with legal process, preventing fraud or imminent harm, and ensuring the security of our network and services.
Our Sites provide services in partnership with third parties. You may sign up for these services and give permission for your details to be passed to these third parties. You will need to give permission in each case, and this will be made clear either on our website or at the point of signing up on a partner website.
You acknowledge and agree that the personal information we hold may be transferred or stored outside the EEA or the country where the Licensee Organisation and the Authorised Users are located in order to carry out the Services and our other obligations under this Agreement.
You understand that The Career Innovation Company, in performing the required technical steps to provide the Services to our users, may (a) transmit or distribute your Content over various public networks and in various media; and (b) make such changes to your Content as are necessary to conform and adapt that Content to the technical requirements of connecting networks, devices, services or media. You agree to us taking these actions.
5. Your right to know
You have the right to find out from us if we have stored information about you, and if so, what kind. Much of this data is easily accessible to you on the site, by viewing your profiles, account details or Site User Identity. You can view and alter this information as required.
For data over which you do not have direct control, you may ask to view this information and we are required to make the necessary changes if this information is incomplete or incorrect. Please write to us: Data Protection Officer, The Career Innovation Company Ltd, c/o Gravita Oxford LLP, First Floor, Park Central, 40-41 Park End Street, Oxford, OX1 1JD, United Kingdom.
Here is some additional guidance on raising your concerns with us. You also have the right to raise your concerns with the UK Information Commissioner's Office: https://ico.org.uk/make-a-complaint/data-protection-complaints/.
We do not have the right to reveal data that belongs to other Users, including any opinions they may express about you. They are the owners of that data.
6. Legal disclaimer
It is possible that we may need to disclose personal information when required by law. We will disclose such information wherein we have a good-faith belief that it is necessary to comply with a court order, ongoing judicial proceeding, or other legal process served on our company or to exercise our legal rights or defend against legal claims.
